Review the returns
Level as you would by hand: tender sums, then collections, then items. Comparison shows every return side by side; Bid Review takes one return against its source.
Tender sums
The total row is the sum of each supplier's placed prices, checked against their stated tender sum.
Bid total differs from sum of items: arithmetic, a misread price, something in Unmatched, or a tender-wide adjustment. Bid total missing: nothing to reconcile against.
Rank on totals. The ones that don't reconcile get the closest look.
Collections
Read the subtotals across the returns. An outlier usually means missing scope, a changed quantity or a different reading of the spec. Open those first.
Bid Review
Bid Review shows one return against your baseline, with the document alongside. Click a cell for its flags and Sources; a source opens the line in the return. Ctrl + Up / Down steps through flagged cells.
Reconcile the collection
No flag on the subtotal: every price in the section is captured. Spend the time on scope and qualifications.
Bid subtotal differs from sum of items: the gap is usually one item — misplaced, in Unmatched, misread, or the supplier's own arithmetic. Bid subtotal missing: check the items direct. Bid states two different subtotals: find out which one the tender sum carries.
Items
Baseline item missing from bid: omitted, included elsewhere, described differently, or in Unmatched.
Quantity or unit differs from baseline: a different measure. Establish the basis before comparing rates.
Bid value differs from quantity × rate: check which figure the supplier means. Bid item repeated: make sure it isn't counted twice.
Description or reference flags: a less certain match. Read the source.
The marker on a cell is a supplier qualification — exclusions, alternatives, supply only. Right-click, Add note, for anything to raise.
Mark what you've checked
Space marks a row reviewed and drops its flags from the counts. Shift + Space on a subtotal marks the section. Mark as done closes the return. Reviewing records the check; it changes nothing else.
Unmatched
Prices, subtotals and notes that don't sit against your baseline: extra-over, alternatives, or the item a short collection is missing. Check it after the sections.
A supplier section spanning several of yours is not forced onto one. Its items are placed individually; its subtotal sits in Unmatched against the heading it totals.
Move or correct a price
Row menu, Move to another row, to re-place a price; Move to other priced to take it off your items. Double-click a figure to correct it. Undo reverses; add a note to say why.
Level
Once each return reconciles, read across in Comparison. Like for like only where measure and qualifications agree. Note the queries per supplier, then export to adjust and report.
